Job Overview

  • Act as the primary point of contact for vessels calling at port, ensuring all activities are handled with precision and compliance.
  • Coordinate all aspects of assigned port calls to ensure seamless operations.
  • Advise on contractor selection and obtain competitive quotes for services provided to our principals.
  • Ensure full compliance with Port Services procedures and accurate use of our operating system (WASP).
  • Use WASP as a mandatory reporting tool in line with SOP guidelines.
  • Monitor vessel status and respond promptly to follow-up inquiries.
  • Verify pre-funding is received or properly authorized before proceeding with port calls.
  • Maintain up-to-date vessel files and real-time system updates.
  • Communicate proactively and professionally with all stakeholders.
  • Report business leads, opportunities, and relevant port updates to your manager.
  • Track and record all expenses during port calls.
  • Manage Cash-in-Transit (Cash to Master) in accordance with WPS procedures.
  • Review and approve supplier invoices with attention to detail and cost-efficiency.
  • Ensure safe, compliant, and cost-effective vessel operations.
  • Follow PPE standards and QHSSE procedures, including the use of TAKE 5 when required.
  • Contribute ideas to improve operational and cost efficiency in port calls.

Requirements

Key qualifications include:

  • A solid maritime background and hands-on experience in ships agency operations.
  • Strong communication skills and fluency in English (both written and spoken).
  • A good understanding of operational processes and systems.
