Job Description

As a key member of our team, you will play a crucial role in ensuring the smooth execution of projects and seamless coordination between teams.

  • Executive Project Coordination: Coordinate projects and priorities for our COO to ensure timely completion and meet project objectives.
  • Prepare project status updates and materials for daily communication, including project timelines and progress reports.
  • Manage schedules using systematic frameworks to ensure efficient use of time and minimize conflicts.
  • Anticipate project needs before meetings and important calls, ensuring that all necessary information is prepared and readily available.
  • Project Management & Team Coordination: Review meeting notes, extract action items, and distribute to project teams to ensure clear understanding of tasks and responsibilities.
  • Prepare agendas for internal meetings and ensure weekly team calls stay on track, promoting effective collaboration and communication among team members.
  • Create weekly project status reports, following established SOPs, to provide a comprehensive overview of project progress and any challenges encountered.
  • Coordinate deliverables between design and development teams to ensure timely completion and high-quality output.
  • Track project progress and identify areas for improvement to optimize project outcomes.
  • Marketing Project Management: Manage social media content projects, coordinate graphic creation projects with the design team, and schedule content publication to maximize brand visibility and engagement.
  • Coordinate sales follow-up projects, meeting research coordination, and email campaign management to drive sales and revenue growth.
  • Support client relationship projects and lead nurturing initiatives to foster strong relationships with clients and promote long-term partnerships.
  • Process Optimization Projects: Identify and manage process improvement initiatives when capacity allows, coordinating administrative projects to maintain smooth operations and optimize workflows.
  • Research and manage optimization opportunities to continuously improve processes and enhance overall efficiency.
