Job Title: Support Assistant - Technical Safety

DNV Germany Holding GmbH is seeking a proactive Support Assistant to join our fast-paced technical safety consultancy at the cutting edge of risk analysis techniques.

About the Role:

The Support Assistant will be daily immersed in challenging subjects and projects together with the technical team. The Risk Management team in Brazil provides a wide range of advisory safety engineering and risk management services to the energy industry, for CAPEX and OPEX projects, in Brazil and worldwide.

Key Responsibilities:
  1. Ensure that the work or duties performed are in accordance with instructions, guidelines, and quality requirements of the organization and the instructions of the line management.
  2. Carry out finance administrative duties, such as invoicing and control of accounts receivable.
  3. Support administrative activities, such as documentation control of risk management section projects.
  4. Support in bidding processes and systems.
  5. Support the Managers in market and sales support.
  6. Be responsible for collecting, generating, and sending administrative, legal, and other documents for Project's support documentation.
  7. Actively support Project Managers (PM) on the following activities:
    1. Original set data in Internal tools.
    2. Proposal/Project progress weekly and monthly updates.
    3. Prepare and/or check Invoicing – interface with customers.
    4. Invoice follow-up – interface with Project Manager.
    5. Call for invoice and drafted invoice check – interface with cost controller.
    6. Responsible for monthly delivery – interface with PMs and Cost Controller.
  8. Project Analysis, support on internal agreements:
    1. Subcontractors hours control – cross-check with project budget and Section provision.
    2. Support on ART elaboration.
    3. Support with comparison among expected and actual hours spent.
  9. Maintain the confidentiality of Clients' business, processes, designs, developments, and documentation at all times.
Requirements:
  • University degree or under graduation.
  • Proficiency with Microsoft 365 tools – Excel, Word, PowerPoint, Teams, and digitalization mindset.
  • Previous experience of at least 2 years as Administrative Assistant, or similar.
  • Portuguese language speaking/writing proficiency is mandatory.
  • Advanced English skills required, written and verbal.
  • Broad awareness/understanding of general/best practice finance processing flow and steps, and familiarity with compliance and legal finance processes in Brazil.

  • Focusing on delivering the result on time, ability to work within tight deadlines.
  • Excellent communication skills, verbal and in writing.
  • Ability to completely undertake activities with limited supervision.
  • Ability to work on a team effectively and efficiently, but also be able to show effectiveness when working individually.
  • Eager to learn and develop.
  • Demonstrated technical skills including: attention to detail, critical thinking, problem-solving, and time management skills.
  • Organised and logical, capability to follow-up on issues.
