
Facilities Operations Specialist

This role is a key part of the Facilities Management functional area, focusing on all aspects of the operations of a set of assets, providing support to property managers regarding repairs and investment plans.
The facilities coordinator will work with landlords, tenants, and service providers to ensure they implement and recognize procedures, policies, and reporting formats. They will also acknowledge client inquiries and collect work orders.
The coordinator will be responsible for collecting information reports to find out performance and progress status, and filing work orders, proposals, department files, and other paperwork submitted by vendors.
They will monitor activities outside the building, such as waste disposal and recycling.
Key Responsibilities:- Develop and maintain relationships with landlords, tenants, and service providers to ensure effective communication and cooperation.
- Collect and process work orders, and ensure timely completion of tasks.
- Monitor and report on the performance and progress of facilities-related projects.
- Provide administrative support to property managers, including data entry and record-keeping.
- Ensure compliance with company policies and procedures.
- High School Diploma or equivalent with up to 2 years of job-related experience.
- Effective communication skills to exchange straightforward information.
- Working knowledge of Microsoft Office products (Word, Excel, Outlook).
- Strong organizational skills with an inquisitive mindset.
- Basic math skills to calculate simple figures.
Deliver high-quality output by following defined procedures and processes under close supervision and guidance.
