Property Portfolio Manager

About the Role:

As a key member of our team, you will oversee all property portfolios across different regions. You will be responsible for managing tenant leasing processes, negotiations, and renewals to maintain positive relationships and enhance satisfaction.

Responsibilities:

  • Manage tenant leasing processes, negotiations, and renewals
  • Address tenant concerns to maintain positive relationships and enhance satisfaction
  • Monitor lease agreements for compliance and enforce lease terms
  • Resolve tenant complaints, queries, and requests promptly
  • Source new tenants for various properties
  • Ensure lease administrators prepare leases and conduct pre-checks before issuance
  • Conduct weekly meetings with building managers on leasing issues
  • Meet with brokers to showcase available vacant premises, maintaining effective communication
  • Perform regular site visits to all properties

Accounting Management:

  • Review pre-bills from lease administrators for accuracy
  • Identify and correct errors in accounts before issuing statements
  • Assist with the preparation of monthly management reports for directors
  • Hold monthly management meetings to review portfolio performance
  • Ensure records from RMS are accurate and up-to-date
  • Coordinate with the RMS team regularly to discuss updates and concerns

Staff Management:

  • Manage Operations and Leasing departments to optimize staff performance
  • Set clear job expectations, communicate objectives, and employ strategic management techniques
  • Develop and enforce policies, procedures, and standards
  • Promote teamwork and a positive work environment
  • Support and guide staff to ensure effective performance
  • Manage workflow and capacity between teams
  • Oversee daily operations and address related issues
  • Conduct onboarding and training for new employees
  • Identify and implement process improvements

Time Management:

  • Show willingness to work overtime when necessary to meet deadlines
  • Employ effective time management strategies to handle workload
  • Consistently meet targets and deadlines

Requirements: To be successful in this role, you will need excellent organizational and communication skills, as well as the ability to prioritize tasks effectively. A strong understanding of accounting principles and procedures is also essential.
