This role is critical to ensuring the CEO can focus on strategic initiatives while maintaining operational excellence. The ideal candidate will be a strategic partner who can anticipate needs, manage complex priorities, and drive execution across multiple workstreamsJob Responsibilities:Calendar & Scheduling ManagementManage executive calendar with competing priorities and time-sensitive requestsSchedule meetings, calls, and events across multiple time zones with internal and external stakeholdersProactively identify scheduling conflicts and propose solutionsCoordinate travel arrangements and detailed itineraries when neededPrepare meeting agendas and ensure all necessary materials are ready in advanceFollow-Up & Action Item ManagementTrack and monitor action items from meetings, ensuring timely completionFollow up with team members on deliverables and project milestonesMaintain comprehensive task management systems and provide regular status updatesEscalate issues and bottlenecks to appropriate stakeholdersEnsure nothing falls through the cracks in fast-paced environmentReport Compilation & AnalysisGather data from multiple departments and systems to create executive reportsCompile weekly, monthly, and quarterly business updates for CEO reviewCreate executive dashboards and KPI summariesSynthesize complex information into clear, actionable insightsProject ManagementLead and coordinate cross-functional projects on behalf of the CEODevelop project timelines, track milestones, and manage deliverablesFacilitate project meetings and ensure effective communication between teamsMonitor project budgets and resource allocationCommunication & CorrespondenceManage executive email and prioritize urgent communicationsDraft correspondence, presentations, and internal communicationsServe as primary point of contact between CEO and internal/external stakeholdersHandle sensitive and confidential information with discretionStrategic SupportAttend meetings and take detailed notes for CEO follow-upConduct research on industry trends, competitors, and potential partnershipsAssist with strategic planning initiatives and company goal settingThe ProfileQualifications & Experience:5+ years of executive assistant experience, preferably supporting C-level executivesExperience working in remote/distributed team environmentsMust be available to work Pacific Time Zone business hours (8 AM - 6 PM PST)Proficiency in project management tools (Asana, Monday.com, Notion, or similar)Advanced skills in Google Workspace or Microsoft Office SuiteExperience with scheduling tools (Calendly, Acuity, or similar)Strong written and verbal communication skillsExceptional organizational and time management abilitiesAbility to handle confidential information with the highest level of discretionKnowledge of accounting/finance basics for report compilationThe EmployerOur client products made to last a lifetime through with simple, functional designs ready for anything and everything.
