Position Overview:
We are seeking a proactive and organized Receptionist / Administrative Assistant to join our São Paulo office. This role is essential to ensuring smooth day-to-day operations and providing support to the local investment banking team. The ideal candidate will be a reliable point of contact for office-related matters and will contribute to a welcoming and efficient workplace environment.
Key Responsibilities:
Reception Duties:
- Greet and assist visitors and employees in a professional and friendly manner.
- Manage incoming calls and correspondence.
- Coordinate meeting room bookings and ensure readiness for meetings.
Administrative Support:
- Provide general administrative assistance to the investment banking team.
- Assist with scheduling, document preparation, and other clerical tasks.
- Support onboarding of new hires, including equipment setup and coordination of onboarding materials.
Office Management:
- Order and maintain inventory of office supplies, including binding and stationery.
- Act as a liaison with building management and facilities teams for office-related issues.
- Ensure the office environment is clean, organized, and well-maintained.
Qualifications:
- Previous experience in a receptionist or administrative support role preferred.
- Strong organizational and multitasking skills.
- Excellent communication skills in Portuguese & English.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to work independently and collaboratively in a fast-paced environment.
- This is an in-office role, with a requirement to be onsite five days per week.
