We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Misc. The successful candidate will provide administrative support to our Rio Offices/Country Manager, Global DPST staff, and AET Brazil staff, as well as manage local office supplies and general administration requirements.
Key Responsibilities- Handle incoming and outgoing mail, ensuring timely and efficient processing.
- Prepare meeting rooms with refreshments and materials for meetings with visitors.
- Coordinate travel arrangements and prepare expense reports in accordance with Corporate Travel Policy.
- Facilitate the preparation and approval of expense reports and ensure timely reimbursement to travelers.
- Schedule appointments, conferences, and meetings as directed, and prepare and distribute meeting minutes when requested.
- Manage customer and vendor contact details in the Corporate Contact List and Vessel contact list.
- Receive and process office and HR-related invoices, ensuring timely payment.
- Assist with office maintenance and upkeep, including inventory control and PPE management.
- Provide administrative support to the local ELT, Extended Leadership Team, and Rio Office/Administrators in day-to-day duties, meeting preparations, minutes, and follow-ups.
- Support the local HR Associate in operational activities as required.
- Assist with office procurement and vendor register management.
- Comply with Company policies and Code of Conduct and Business Ethics (CoBE).
- Assist with the upkeep of the Crisis room and office PPE for shore staff and visitors.
To be successful in this role, you will need to have excellent organizational and communication skills, as well as the ability to work independently and as part of a team. You will also need to be proficient in Microsoft Office and have experience with administrative software.
