Main Objective:
The primary aim of this role is to maintain a safe, secure, and healthy environment for the British High Commission and its personnel.
The officer will oversee the operational integrity of the British High Commission's facilities, ensuring that all buildings and residential properties adhere to UK standards. This includes ensuring compliance with health and safety regulations regarding accommodation, services, and furnishings. The role involves managing and evaluating the performance of external contractors according to established agreements, as well as planning and executing regular safety inspections and maintenance tasks while keeping accurate records of all work and assets.
Key Responsibilities:
- Oversee the daily operations of the High Commission's estates and facilities, focusing on planned preventive maintenance (PPM), compliance with health and safety regulations, and fire safety management.
- Provide a customer-oriented service through in-house teams to both internal clients and external stakeholders, ensuring effective communication and addressing feedback.
- Organize and delegate tasks for the facilities management team and contractors, identifying issues and managing work requests efficiently.
- Prepare and finalize staff residential properties, ensuring compliance with UK standards and readiness for occupation, including managing inventories and coordinating repairs or replacements.
- Maintain comprehensive inventories and asset registers, including management of various stores (e.g., furniture, technical, housekeeping).
- Perform additional corporate responsibilities as needed to support the seamless operation of the mission.
Management of Resources:
While there is no direct line management responsibility, the role involves overseeing the performance and delivery of the facilities management contract.
Language Proficiency:
Fluent written and spoken English is required, along with good spoken skills in Sinhala and/or Tamil.
Essential Qualifications and Experience:
- A minimum of 5 years of relevant experience in facilities management.
- Strong IT skills, including proficiency in Outlook, Word, and Excel.
- A degree or relevant diploma/HND (NVQ 5/6) in facilities management, building management, or maintenance.
Desirable Qualifications and Experience:
- Demonstrated experience in managing contractors and service providers.
- Knowledge of health, safety, and fire standards.
- Experience in customer service and documentation management.
- Strong interpersonal and organizational skills, with effective time management and decision-making abilities.
