Job Title: LATAM Executive Assistant

We are seeking a highly skilled and organized LATAM Executive Assistant to join our team at Somewhere. As a key member of our support team, you will be responsible for providing exceptional administrative support to our executives and ensuring the smooth operation of our business.

Key Responsibilities:
  • Manage and schedule work completion timelines for client projects, ensuring timely delivery and high-quality results.
  • Draft and prepare contracts for client engagements, maintaining accuracy and attention to detail.
  • Create and post engaging content on LinkedIn to foster connections with our network and promote our brand.
  • Promptly respond to messages on Cliq and manage email communications, providing excellent customer service.
  • Organize personal and professional calendar items, ensuring a balanced schedule and efficient use of time.
  • Perform data organization tasks to maintain accuracy and efficiency, utilizing tools like Notion or similar platforms.
  • Update information for investors and deal profiles as required, ensuring up-to-date knowledge and records.
  • Transcribe handwritten notes to digital format for record-keeping, maintaining a paperless office.
  • Take detailed notes during meetings to capture important discussions and action items, facilitating effective communication.
  • Assist with financial updates, such as updating monthly figures in our financial models, ensuring accuracy and transparency.
  • Prioritize and organize emails to optimize workflow, minimizing distractions and maximizing productivity.
  • Utilize knowledge of Microsoft Excel, Word, and PowerPoint, as well as G Suite tools (Email, Sheets, Docs, Drive) for various administrative tasks, staying up-to-date with industry standards.
  • Understand and use financial terminology appropriately in communications and documentation, demonstrating expertise and professionalism.
  • Make informed decisions with limited information, being receptive to feedback and learning opportunities, and continuously improving performance.
  • Organize and manage information within Notion or similar platforms, maintaining a structured and efficient workflow.
  • Keep track of schedules and priorities, ensuring efficiency and productivity, and handling quick coordination responses via email.
Requirements:
  • Minimum of 3 years experience in an executive support role or similar, with a proven track record of success.
  • Proficiency in MS Office Suite and G Suite applications, with a strong understanding of industry-standard software.
  • Familiarity with financial terminology and basic financial management concepts, with the ability to apply this knowledge in a practical setting.
  • Experience with Notion or equivalent organization and information management tools, with a strong understanding of data organization and workflow optimization.
  • Excellent time management and decision-making skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Strong written and verbal communication abilities, with the ability to effectively communicate with executives, clients, and colleagues.
  • Detail-oriented with strong organizational skills, with the ability to maintain accuracy and attention to detail in a fast-paced environment.
  • Ability to handle confidential information with discretion, maintaining confidentiality and professionalism at all times.
  • Demonstrated ability to work independently and as part of a team, with a strong understanding of collaboration and teamwork.
