As an Administrative Coordinator at Manar Capital Humano, you will be responsible for supervising administrative staff to ensure tasks such as reception, data entry, filing, and office maintenance are carried out efficiently. This includes coordinating with team members to prioritize tasks, manage workloads, and maintain a productive work environment.
Facilities ManagementYou will oversee office facilities, including maintenance, repairs, and supplies management to ensure a comfortable and functional workspace. This involves managing vendors, coordinating maintenance schedules, and ensuring that all necessary supplies are available.
Resource AllocationAs an Administrative Coordinator, you will coordinate and manage resources such as office equipment, supplies, and services to meet operational needs and budget constraints. This includes ordering supplies, managing inventory, and ensuring that all necessary equipment is functioning properly.
CommunicationYou will facilitate clear communication across departments by relaying information, scheduling meetings, and distributing relevant updates to staff. This includes coordinating with team members, management, and external stakeholders to ensure that all necessary information is shared in a timely manner.
DocumentationMaintain accurate and organized records, including personnel records, contracts, invoices, and other administrative documents. This includes ensuring that all necessary documents are up-to-date, secure, and easily accessible.
Vendor RelationshipsYou will manage relationships with vendors and suppliers, ensuring timely delivery of office supplies and services. This includes negotiating contracts, managing vendor performance, and ensuring that all necessary supplies are available.
Budget ManagementAssist in budget preparation and monitor expenditures to ensure adherence to financial guidelines. This includes tracking expenses, managing budgets, and ensuring that all necessary financial reports are accurate and up-to-date.
Event CoordinationPlan and coordinate company events, meetings, and conferences to ensure smooth execution. This includes coordinating with vendors, managing logistics, and ensuring that all necessary arrangements are made.
Staff SupportAssist in staff onboarding, provide administrative support to various departments, and address employee inquiries related to office operations and travel arrangements. This includes providing guidance, answering questions, and ensuring that all necessary support is provided to staff members.
