Job Title: Workplace Experience Specialist

Join HireTalent as a Workplace Experience Specialist and play a vital role in creating a seamless and efficient work environment for our employees.

Key Responsibilities:
  • Coordinate and support the delivery of Workplace Services, ensuring a high level of customer satisfaction.
  • Liaise with vendors, building managers, and landlords to resolve issues and maintain a positive working relationship.
  • Maintain awareness of the workspace and submit janitorial and maintenance work orders as needed, communicating with partners to address issues.
  • Conduct daily rounds of the building, reporting and escalating issues to the lead and team members as appropriate.
  • Respond to customer requests and complaints promptly, providing accurate and thorough information.
  • Conduct guest registration through Visitor Management software and maintain the integrity of databases.
  • Assist with light duty activities, such as furniture setup and troubleshooting, and utilize digital tools for service delivery.
  • Follow security and emergency procedures, responding to situations in a calm and efficient manner.
  • Record and reconcile expenses, maintain vendor proof of insurance, and contractual documentation.
  • Share resources, knowledge, and practices with teammates to improve the office environment.
  • Assist with in-office events, provide building tours, and identify areas for process improvement.
  • Work cross-functionally with other teams on projects and process invoices while reporting missing/delayed shipment payments.
  • Maintain Workplace Experience master documents, spreadsheets, calendars, and floor plans.
  • Communicate with the office via Slack, following communications guidelines, and support the Zendesk Sustainability team.

Requirements:

  • Ability to comprehend and interpret instructions, short correspondence, and memos.
  • Ability to write routine reports and correspondence, and respond to common inquiries or complaints.
  • Comfortable meeting and engaging with new people, with a warm and engaging demeanor.
  • Utilize a high level of attention to detail and strong interpersonal skills.
  • Have a positive attitude and a strong sense of urgency in resolving issues.
  • Basic knowledge of financial terms and principles, with an ability to calculate simple figures.
  • Ability to understand and carry out general instructions in standard situations and solve problems.
  • Intermediate skills with Google Suite and comfortable with new technologies and digital tools.
  • Strong problem-solving skills, highly adaptable, and flexible, with the ability to work independently.
