Workplace Experience Specialist

We are seeking a highly organized and detail-oriented Workplace Experience Specialist to join our team at HireTalent. As a key member of our operations team, you will be responsible for ensuring the smooth day-to-day operation of our office facilities.

Key Responsibilities:
  • Facilities Management: Coordinate and support the delivery of workplace services, including maintenance and repairs, to ensure a safe and healthy work environment.
  • Vendor Liaison: Liaise with vendors, building managers, and landlords as needed to resolve issues and ensure timely completion of tasks.
  • Workspace Maintenance: Maintain awareness of the workspace and submit janitorial and maintenance work orders as needed, communicating with appropriate partners to address issues.
  • Customer Service: Respond to customer requests and complaints promptly and accurately, providing thorough information and resolving issues in a timely manner.
  • Administrative Support: Assist with light duty activities, such as adjusting monitor arms, tightening screws on chairs, and adjusting cables under desks.
  • Data Management: Utilize and maintain integrity of databases, support data entry of required reports, and other digital tools associated with service delivery.
  • Security and Emergency Procedures: Follow security and emergency procedures as defined for the property, and respond to emergency situations in a calm and efficient manner.
  • Financial Management: Record and reconcile expenses, and maintain records of vendor proof of insurance and contractual documentation.
  • Team Collaboration: Share resources, knowledge, and practices with teammates to improve the office and support the Food & Beverage program.
  • Event Planning: Coordinate all in-office events for employees and provide building tours for new employees.
  • Process Improvement: Identify areas of process improvement and create action plans to enhance office operations.

Requirements:

  • Communication Skills: Ability to comprehend and interpret instructions, short correspondence, and memos, and ask clarifying questions to ensure understanding.
  • Problem-Solving Skills: Ability to write routine reports and correspondence, and respond to common inquiries or complaints from clients, co-workers, and/or supervisors.
  • Interpersonal Skills: Comfortable meeting and engaging with new people with a warm and engaging demeanor, ability to assess circumstances, empathize, and offer help.
  • Technical Skills: Intermediate skills with Google Suite, comfortable with and embracing of new technologies and digital tools.
